A Quick Overview of What's Happening in Your Community

​Your dashboard is the first screen you see after signing in to the CiviQ web application. It serves as your central command center, giving you a real-time overview of all important community activities and metrics.

Navigating the Sidebar: ​The Sidebar, located on the left-hand side, is your primary tool for navigating the application. It gives quick access to all major features.

  • Home(House icon): This takes you to the main dashboard, your "command center" which provides a quick overview of what's happening in the community.
  • Structures Management: This is where you set up the basic layout of your community. You can manage and organize all the different blocks and individual units (like apartments or villas). This is the foundation of your community's digital presence in the CiviQ system.
  • ​User & Access Management: In this section, you can add and manage all the people who live in your community. You can control their roles (like owner or tenant) and what parts of the app they can access. A single user can be a part of multiple communities or own multiple units within the same community.
  • Fund Account Management: This is a powerful financial tool. Instead of mixing all your money together, you can create separate, dedicated accounts for different purposes—for example, a "Regular Maintenance Fund" for monthly bills or a "Festival Fund" for events. This ensures financial clarity and makes it easy to track where every dollar goes.
  • ​Collections to Fund Account: This feature helps you collect money from residents. You can set up collections (like "Jan-2025 Regular Maintenance Collection") and link them directly to a specific fund account. You can even choose to notify only a specific group of residents, such as the "Sports Group" for a sports fund collection.
  • Expense Management: This is where you record all the expenses for your community. When you record an expense, the amount is automatically taken out of the correct fund account, so you always know your balance.
  • Circulars & Notice Management: This is your official communication channel. You can create and send important announcements or circulars to all residents or to specific groups. Every notice is created on the community's official letterhead for a professional and authentic look.
  • ​Complaint Management: This feature allows residents to report problems (like a leaking pipe) directly through the app. You can track the complaint from when it's filed to when it's resolved, and the system sends notifications to keep everyone updated.
  • Meetings Management: You can use this to create and organize meetings for your community or for specific groups like a committee. The system sends reminders and helps you record the minutes of the meeting (MoM) so that everything discussed and decided is documented.
  • Documents: This is your central "Document Vault" for storing and managing important community files. You can find document categorized by type, such as minutes, policies, agreements, reports, and legal documents.

More Menu Options(Three dots icon): When you click it, a pop-up appears, revealing four more features.

  • Discussion & Polls: Create and manage community polls and discussions to gather opinions and make decisions.
  • ​Visitors: This feature allows you to track and manage visitor entries and approvals, ensuring security.
  • Reports: You can view detailed analytics and community reports.
  • Contacts: This is where you can manage essential contacts and emergency numbers

Top Bar: Your Quick-Access Menu

The top bar of the CiviQ dashboard is designed for quick actions and important information. 

  • CiviQ Logo: On the far left, the CiviQ logo is a brand identifier.

  • Navigation Path: To the right side of the logo, a navigation path helps you to switch the community within the application, so you always knows which screen you are on.

Action Icons

On the right side of the top bar, you will find icons that act as shortcuts to some of the most frequently used features.


  • Request: This icon is your inbox for managing requests that require your attention, such as user approvals or other pending tasks.
  • Activity: This icon likely Provides a summery of all the recent actions and events within your community.
  • Mobile: This button leads to a page where you can download the CiviQ mobile app.
  • Tutorials: This icon provides instant access to guides and resources to help you use the platform effectively.
  • Help: This is direct link to the help section.
  • Notification: The bell icon alerts you to important updates and messages, ensuring you don't miss anything.
  • Settings: This is a direct shortcut to the main settings page where you can configure preferences for your community's workflow.

The user profile name is also visible, indicating that this area of the top bar is associated with the user's account.

Your Command Center

It is designed to provide you with a summary of your community's key metrices. These widgets are static displays that show real-time data, helping you quickly understand the status of your community.

  • Structures: This widget shows the total number of units managed, which represents the total number of homes (apartments, villas etc.) in your community.
  • Funds and Expenses: These two work together to give you a snapshot of your community's finances. 
  1. Funds displays the current balance of the community's funds.
  2. Expenses shows the total amount of money spent "this year".

The two numbers help you quickly gauge the financial health of your community.

  • Visitors: This widget shows the total number of visitors to your community. It provides a summary of visitor traffic, which is a key security metric.
  • User & Access: This widget provides a summary of your community's user base. It shows the number of User Groups and the total number of Users, along with how many are active.
  • ​Owners & Tenants: This widget displays the number of registered Owners and Tenants, providing a clear breakdown of the resident types in your community.
  • Fund Flows: This widget gives a more detailed look at your collections and expenses, showing the number of items that are Scheduled and Pending.
  • ​Upcoming Meetings: This section lists any meetings that have been scheduled, allowing you to quickly see what's on the calendar.
  • ​Recent Circulars & Notices: This displays a list of the latest announcements, such as a "Monthly Maintenance Notice," so you can see what has been communicated to the residents.

  • Activity Logs: This widget acts as a running record of all recent actions, such as users being added or deleted from the community.

  • ​Recent Complaints & Active Polls: These widgets provide a direct view of community engagement and issues.
Recent Complaints shows a list of the latest resident issues that have been submitted.
Active Polls shows any ongoing polls, allowing you to see what community votes are in progress.

Get the CiviQ App

Just to the right of the main dashboard widgets, you can find a dedicated section with a QR code. This feature is a quick and easy way for you and your residents to get the mobile app.


  • QR Code: By scanning this QR code with a smartphone, you can instantly download the CiviQ app from either the App Store or Google Play Store.
  • Purpose: The mobile app allows for quick access and instant notifications, enabling you to manage your community tools on the go.
