The Collections to Fund module is a core component of CiviQ's Community ERP, focused on streamlining financial management for associations and gated communities. It provides a transparent and structured system for gathering financial contributions from members and accurately allocating them to specific, dedicated Fund Accounts. This approach ensures that all collected money is segregated by purpose, guaranteeing accountability and clarity in the community's finances.
Overview of the Collections Page:
The main Collections page provides a real-time snapshot of your community's active fund-raising activities.

Collections to Fund:
The title of the module, confirming the function of collecting funds and crediting them to the specific financial ledger.

All Active Collection:
This is a default filter view, displaying all collections that are currently open and running.

- Collection Item List:
- Name and Dates: Identifies the purpose and the collection period.
- Amount per Unit: The specified contribution amount expected from a single unit.(e.g. ₹500).
- Projection: The total estimated amount expected to be collected from the community based on the unit amount and the number of units.
- Collected: The total cumulative amount that has been successfully paid by members to date.

- From the main dashboard, go to the "Create New Collection" section.
- Click "Create New Collection"

- A new form will pop up asking for the New Collection details.
Select Fund Account:
Choose the specific Fund Account where the money collected from this campaign will be credited.

Set Collection Details:
- Start Date: Select the date then collection will officially begin.
- Due Date: Select the final date by which members must pay the contribution.


Amount Per Unit: Enter the exact financial amount that each contributing unit is required to pay.


Specify which members will be notified and tagged for this collection.
Send to All Groups: Check this box to notify all Unit Users in the community.Select Groups: Choose specific groups (e.g., Sports Group or Festival Group) to target the collection only to relevant members.

Click "Create" The collection will immediately become Active and visible on the main Collections page.

Use the Schedule Collection function to set up collections that repeat at regular intervals, which is ideal for mandatory, recurring fees like monthly maintenance.
- Click "Schedule Collection" button.

- A new form will pop up asking for the Schedule Collection details.
Select Fund Account: Choose the Fund Account (e.g., Regular Maintenance Fund) that all scheduled collections will be credited to.


Due Date: Select the payment deadline for the first collection.

Amount Per Unit: Enter the contribution amount for each unit.


Define Recipients (User Groups): Under Collect From Groups, choose the specific groups to target. For mandatory regular collections, this is typically all members

Click Save: The system will now automatically create and launch these collections on their specified start dates.

The CiviQ Collections to Fund module ensures financial transparency by strictly linking contributions to a dedicated Fund Account. This system utilizes User Group targeting for precise communication and accountability. By providing options to Create New Collection for one-time needs and Schedule Collection for recurring fees, CiviQ streamlines and automates your community's financial operations.
